The Scandinavian Quarterly (“TSQ”, “we”, “us”, “our”) respects your privacy and aims to collect only the information we need to publish the magazine, manage subscriptions and submissions, communicate with readers and contributors, and operate our website.

This policy explains what personal information we collect, why we collect it, how we use it, who may process it on our behalf, and the choices you have.

Information we collect

The information we collect depends on how you interact with TSQ.

This may include your name, email address, country, subscription or membership details, correspondence with us, and information you provide through our contact forms.

If you submit work to TSQ, we may also collect your manuscript or artwork, biography, website, social media handles, publication history, information about translations, and other material you choose to include with your submission.

If your work is accepted, we may retain information needed to manage publication, contributor correspondence, rights and permissions, contributor copies, award nominations and your contributor profile.

If you subscribe to a paid plan, purchase an issue or make a donation, payment information is processed by our payment providers. TSQ does not receive or store your full card number.

We may also receive basic technical information when you use the website, such as your IP address, browser information, device information and information required to keep the site secure and functioning.

How we use your information

We use personal information to operate The Scandinavian Quarterly, including to process submissions, communicate editorial decisions, manage subscriptions and memberships, fulfil purchases, process donations, send newsletters you have requested, respond to enquiries, maintain contributor profiles, administer publication rights, nominate eligible work for literary awards, prevent misuse of our services, and meet our legal and accounting obligations.

Where a contributor provides a website, social media account or links to published books for inclusion in their TSQ contributor profile, we may publish those details alongside their biography and TSQ work. Providing these links is optional.

We do not sell personal information.

Under the GDPR, organisations must have a lawful basis for processing personal information. Depending on the situation, TSQ relies on consent, performance of a contract or steps connected with a contract, legal obligations, and our legitimate interests in operating and protecting an independent publishing business.

For example, we rely on consent when you choose to receive marketing or newsletter communications. We process subscription, purchase and donation information where necessary to provide the service you requested and to comply with financial and accounting obligations. We process submissions, editorial correspondence and general enquiries where necessary to operate the magazine and respond to the people who contact us.

You may withdraw consent at any time where consent is the basis for processing.

Submissions

Submission information is used only for editorial and publishing purposes unless we tell you otherwise.

Submitting work to TSQ does not automatically subscribe you to our newsletter or marketing communications.

Please avoid including unnecessary sensitive personal information in a submission form or cover letter. Creative work itself may of course contain personal, biographical or sensitive subject matter; we process manuscripts only as necessary to assess and potentially publish the work.

If a submission is accepted, we may retain relevant correspondence, rights records, contributor details and publication records for as long as reasonably necessary to document the publication and our agreement with you.

Unsuccessful submissions and related personal information are generally retained for no longer than 3 months after a final editorial decision, unless there is a legitimate reason to retain particular correspondence for longer.

Contributor profiles

Published contributors may receive a profile on the TSQ website.

A profile may include the contributor’s name, biography, TSQ publications, website, social media links and links to books they have published. Website, social media and book links are optional.

Contributors may contact us if they would like optional profile information updated, corrected or removed. Certain information forming part of the permanent editorial or publication record may continue to appear in archived issues and publication records.

Newsletters and memberships

If you join our mailing list or create a membership, we collect the information necessary to manage your account and send the communications you have requested.

You may unsubscribe from newsletters at any time using the unsubscribe link included in our emails.

Ghost provides the publishing and membership infrastructure used by TSQ. When Ghost processes information uploaded to or collected through our publication, Ghost acts as a data processor on behalf of the publication and provides a GDPR data-processing agreement to its customers.

Forms

We use Tally for some submission and contact forms.

When you complete one of these forms, the information you enter is transmitted through Tally and made available to TSQ. Tally states that form creators remain responsible for the information they collect, while Tally acts as the processor, and that form data is stored in Europe.

We use the information collected through these forms only for the purpose stated on the relevant form unless you separately agree to another use.

Subscriptions and payments

Paid memberships and subscriptions are processed using Stripe.

Stripe may process information necessary to complete payments, prevent fraud and comply with financial regulations. Depending on the service being provided, Stripe may act as a processor or as an independent controller. Stripe provides contractual safeguards for international data transfers, including mechanisms recognised under the GDPR.

TSQ does not store your complete payment-card details.

Donations

We use Donorbox to process one-time and recurring donations.

When you make a donation, Donorbox and its payment providers process the information required to complete and administer that donation. Donorbox states that full card numbers are processed through secure payment gateways rather than stored directly on Donorbox servers.

Donorbox may process data outside the European Economic Area and states that it uses recognised safeguards such as adequacy decisions and Standard Contractual Clauses where required.

International data transfers

Some of the service providers we use operate internationally.

Where personal information is transferred outside the European Economic Area, we rely on appropriate legal safeguards provided by the relevant service provider, such as adequacy decisions, the EU–US Data Privacy Framework where applicable, or European Commission Standard Contractual Clauses.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Membership information may be retained while your account remains active. Editorial and contributor records may be retained where necessary to preserve the publication record and document rights agreements. Contact correspondence is deleted when it is no longer reasonably required.

Financial, transaction and accounting records may be retained for longer where applicable law requires us to do so.

When information is no longer needed, we will delete or anonymise it where reasonably possible.

Cookies and similar technologies

TSQ may use cookies or similar technologies that are necessary for the website, memberships, payments and security to function.

Embedded services such as Ghost, Stripe and Donorbox may also use cookies or similar technologies when you interact with their services.

If we introduce non-essential analytics, advertising or similar tracking technologies that require consent, we will ask for that consent where required by law.

Your rights

If the GDPR applies to you, you may have the right to ask us to access the personal information we hold about you, correct inaccurate information, erase information in certain circumstances, restrict or object to certain processing, receive certain information in a portable format, and withdraw consent where our processing relies on consent. You also have rights relating to certain forms of automated decision-making.

We may need to verify your identity before fulfilling a request.

You also have the right to complain to the relevant data-protection authority. In Sweden, the supervisory authority is Integritetsskyddsmyndigheten (IMY).

Children

TSQ is not designed to collect personal information from children as part of its normal website, membership or donation activities.

If we discover that personal information has been collected from a child in circumstances where parental or guardian consent was legally required, we will take appropriate steps to address it.

Security

We take reasonable organisational and technical measures to protect the information entrusted to us and use established service providers for publishing, forms and payments.

No online system can be guaranteed completely secure, but we limit access to personal information to people and services that reasonably need it for TSQ operations.

The TSQ website may contain links to contributors’ websites, social media accounts, books, publishers, cultural organisations and other external sites.

Once you leave our website, the privacy practices of those third parties apply. We are not responsible for the privacy practices of websites we do not operate.

Changes to this policy

We may update this Privacy Policy when our services, technology or legal obligations change.

The latest version will always be published on this page, together with the date it was last updated.
